Contracts and regulations

A contract is the formal confirmation of the agreed arrangements between the artist and the organization including the exact dates of the work period and stay in the guest studio, the financial terms, use of facilities, entitlements and obligations. There is no standard, and there is no obligation to have one, yet it can be helpful to clarify arrangements.

The following guidelines may help to create a contract or regulations that suit your program.

General
[The Artist/Guest] will take part in the artist in residence program at [AiR Organisation] during the period of [date from-to] working on [brief description of project].
Both parties agree about the following points.

Finances
The financial agreements concerning costs of travel, stay, work, production, presentation.

Start of the project
Think of practicalities that concern the arrival of the artist at the studio and accomodation, like handing over the keys, introduction to the staff, to other artists, the use of equipment and facilities, local transport (the use of a bike, car, public transport), and daily needs such as groceries, laundry, the local hardware store, bars, museums, libraries etc.

Stay
Think of what can and can not be done within the premises. Is there a special instruction how to dispose of garbage, glass, paper. How to use the kitchen, store food, clean up? Who to contact in case of an emergency? Are guests welcome and who should be notified about their stay?

Course of the project
What is expected of the artist and Air organization in terms of the different stages during the course of the project ? What role is assigned to the staff, can they assist during the research and production, help with connections to local networks, provide translation if needed?

Presentation
What is expected from the artist during public moments such as a presentation? What can be expected from the AiR organization concerning publicity? Who is responsible for the catering, is there is an available budget, etc.

End of the project
What is expected when the project is finished, how to leave the premises, what can and can not be left behind? What about agreements on future presentations and communication in terms of using name, logo, and copyright?
